Summary: The ESE Clerk is a full-time, year-round position responsible for maintaining all special education files for students with disabilities in a well-organized, compliant manner. The position also performs related activities including facilitating special education enrollments by working cooperatively with the enrollment team, performing data entry into appropriate student information databases, processing external records requests, and supporting leadership efforts to communicate, develop, and deliver compliance training to special education staff.

Responsibilities: Assist Staffing Resource Specialist with clerical tasks (i.e. Sending ESE meeting notices, scheduling meetings, managing the outlook calendar invites, tracking meeting schedule, copying materials, filing meeting packets, updating and monitoring ESE database) Assist with organizing records and maintain ESE student folders while protecting confidentiality of student records and information. Report exceptional student education data to registrar by completing ESE transmittal form after each ESE meeting (within 24 hours), enter data into Student Record System (i.e. Skyward/Focus) as needed and communicate with all required personnel to ensure efficiency and accuracy. Collaborate with designated personnel (ie FSCM) to review all new ESE students application and complete a ESE Student Enrollment Cover Sheet and Charter School Therapy Student Enrollment Form and distribute to appropriate team members. Provide support as needed to the enrollment process for ESE students (i.e. collecting materials/scanning/follow up with potential students) Process ESE record requests from other school districts within 24 hours Submit ESE record requests for new students and follow up as needed. Assists in regular file reviews to ensure compliance including verifying the presence of documents. Performs other duties as assigned.
