Position Summary

The Receptionist / Student Administrative Assistant serves as the first point of contact for guests, volunteers, students, and staff while providing administrative and ministry support for church operations and student ministry activities. This role helps create a welcoming environment and ensures ministry events, communication, volunteer coordination, and weekly operations run smoothly. Reports To: Office Manager/Campus Minister Classification and DOL Status: Non-exempt, full-time hourly position Schedule: Approximately 35 hours per week, Monday–Thursday, 8:00am-5:00pm with occasional evening or event responsibilities Primary Responsibilities Reception & Guest Services Answer incoming calls professionally and direct calls appropriately Welcome guests, students, volunteers, and parents with hospitality and professionalism Maintain a clean, organized, and welcoming reception and office environment Manage voicemail and general office communication Administrative Support Maintain calendars, rosters, attendance records, and ministry databases Process forms, profiles, and background checks within church management software Prepare and send ministry communications, emails, and text notifications Assist with volunteer scheduling and coordination Order and organize office and ministry supplies Support baptism events and maintain related supplies and materials Manage mail, deliveries, and office resources Support staff with general clerical and organizational tasks as needed Assist with setup and teardown for ministry events and celebrations Student Ministry Support Coordinate weekly ministry setup and operational needs Assist with event planning, reservations, vendor communication, and logistics Help manage concessions, food ordering, and volunteer pickup coordination Maintain student attendance records and guest follow-up communication Assist with ministry gatherings, special events, and seasonal activities Prepare check-in stations, tablets, printers, and guest areas for services and events Ensure meeting and gathering spaces are clean, stocked, and event-ready Restock hospitality areas and ministry supplies Assist with setup and teardown for ministry events and celebrations Qualifications Strong interpersonal and hospitality skills Excellent verbal and written communication abilities Strong organizational and time-management skills Ability to manage multiple projects and priorities simultaneously Proficiency with Microsoft Office and willingness to learn church management software Ability to work independently and collaboratively with staff and volunteers Professionalism, discretion, and confidentiality Flexible and servant-hearted attitude Preferred Skills Experience in administrative support or receptionist roles Experience coordinating events or volunteers Familiarity with church or nonprofit ministry environments Basic technology troubleshooting skills for printers, tablets, and check-in systems Physical Requirements Ability to lift and move supplies, decorations, and event materials Ability to stand, walk, and move throughout the campus during events Occasional local errands and supply pickup Additional Requirements Ability to pass a background check Written agreement with The Hills Statement of Faith Availability for occasional ministry events outside regular office hours Attend The Hills Church and become a member at time of employment
