Start date: August 10, 2026
Marin Academy seeks a student-centered professional to serve as an assistant to the Learning Services Office and student learning coach. This dual role blends complex program coordination with direct student support, requiring someone who can manage detailed systems with accuracy and care while building strong, trust-based relationships with adolescents.
In this role, you will oversee confidential documentation, coordinate submissions to external agencies, and maintain clear communication with students, families, and testing organizations. You will design and manage efficient systems to track high-volume, high-stakes processes, using technology—including AI—to improve organization, accuracy, and workflow.
The ideal candidate is empathetic, detail-oriented, and proactive—someone who enjoys working with adolescents while also bringing precision, strong organizational and collaborative skills, and sound judgment to complex, confidential work.
Assistant to Learning Services Role
- Standardized testing
- Manage all aspects of ACT/SAT accommodation applications (timelines, materials, submissions, appeals)
- Communicate with families about testing and practice exams
- Coordinate accommodations for PSAT, SAT, ACT (school-day and practice testing)
- Organize occasional weekend “special” test administrations (0–2/year)
- Maintain clear systems to track deadlines, documentation, and communication
- Learning services office
- Collect, organize, and maintain psychoeducational evaluations and student records
- Coordinate authorization processes and accommodation approvals
- Maintain Learning Services data in Blackbaud
- Manage communication with families on behalf of the office
- Track and update accommodations and required documentation
- Coordinate billing with outside vendors
- Maintain referral network of specialists (therapists, tutors, etc.)
- Manage secure sharing of records with our consulting psychologist
- Transition to college
- Prepare and organize student documentation for post-secondary transitions
STUDENT LEARNING COACH (LEARNING LAB) • Provide 1
- 1 and small-group coaching in study skills and executive functioning
- Support goal-setting, task initiation, focus, and reflection
- Teach planning, prioritization, and self-monitoring strategies
- Offer structured, responsive academic support
- Build strong, supportive relationships with students
- Foster an inclusive, organized, and productive learning environment

Requirements

- Previous employment as an office assistant preferred

Marin Academy is an independent, college preparatory high school located in the San Francisco Bay Area in San Rafael, CA with an enrollment of 450 students with academic talent, interest in the arts and athletics, and a passion for a multitude of issues. Our students come from San Francisco, the East Bay, and Sonoma in addition to Marin County. Marin Academy has a block schedule in which classes meet every other day for 75-minute periods.
Salary Range
$29.00-$36.00/hour.
