Job Description

Job title: Nursing Department Administrative Assistant

Department: Nursing Department

Reports to: Chair of the Nursing Department and MSN Program Director

Purpose of position

Responsible for providing a diversified clerical and organizational support for the efficient operation of the MSN-FNP (Masters of Nursing-Family Nurse Practitioner) program and the Nursing Department to help facilitiate a smooth and organized office work flow.

Essential duties and responsibilities

  • Providing administrative support for Nursing Department faculty.
  • Preparing and completing monthly and annual reports, periodically handling special projects and communications to other faculty members, staff, and members of the campus community.
  • Providing administrative and editorial support for assessment processes and accreditation reports for the department.
  • Contact for clinical partners, maintaining student compliance records.
  • Managing inventory and ordering lab supplies, tracking bills and office expenses and other shared budget items for the department.
  • Assisting with the selection, hiring, and scheduling of student employees.
  • Attending division/department meetings as requested and records the minutes for each meeting-routing and posting where appropriate.
  • Organizing and maintaining the shared electronic files for the Nursing Department.
  • Receiving and responding to phone calls, visitors and correspondence and making appropriate referrals as necessary.
  • Preparing or supervising the preparation of course materials for distribution for the department.
  • Serves as resource to students, parents, internal and external contacts who interact with the department.
  • Organizing travel arrangements, conferences, meetings and special events for the department.
  • Performing other duties as assigned.

Knowledge, skills, and abilities

  • A clear understanding and commitment to the Reformed perspective and mission of Dordt University and ability to clearly articulate and communicate the mission effectively.
  • Ability to express an active Christian commitment, which shall include identification with a local organized church that holds to beliefs that are consistent with the mission of the university.

  • Associates Degree with 1-2 years of experience or the equivalent combination of education, training and experience in a comparable position. BA degree preferred.
  • Ability to develop proficiency in the use of Microsoft Office products including Outlook, Word and Excel as well as department based medical software.
  • Must be organized, self-motivated, and able to work independently.
  • Ability to establish and maintain effective work relationships with other people.
  • Strong interpersonal skills and compassion for others.
  • Excellent written communication skills.
  • Able to adapt to variable workload throughout the year.
