- Patient Demographics Ensures accuracy and efficiency when processing consent forms.
- Enters/updates patient demographic and insurance information into the electronic health record.
- Records and attaches required information to consent forms.
- Schedules appointments.
- Scans all required documents into appropriate patient record.
- 2.
- Insurance and Billing: Responsible for acquiring patient financial information and collecting payment.
- Accurately performs income determination and completes applicable forms.
- Verifies insurance eligibility.
- Accountable for cash drawer and daily deposit accuracy.
- Attends Dental Billing meetings and reports necessary changes or interventions to be made.
- Responsible for directly communicating with the Dental Billing team to resolve billing issues.

- Communication and Team: Provides professional, detailed verbal and written communication with patients, guardians, school administrators, and coworkers.
- Responsible for incoming and outgoing telephone communications.
- Participates in a team-based approach.

- Computer Software Proficiency and Reporting: Responsible for collecting data, preparing documents, and running reports.
- Maintains filing systems.
- Fluently navigates and is proficient with computer software and tools, including the Electronic Health Record (EHR), Microsoft Word, Excel, PowerPoint, PDF, Outlook, SharePoint, etc.

- Dental Bus and Presentation Schedules: Accountable for the accurate scheduling of dental bus visits to the schools.
- Has direct contact with school administrators to schedule and confirm dental bus visits, presentations, and consent form pick-ups.

- Program Promotion Preparation: Prepares materials for presentations and consent form drop-offs, including classroom incentives and school administrative marketing items.
- Accountable for collecting, organizing, and tracking consent forms.
- Maintains detailed logs.
- 7.
- Patient Continuity of Care: Responsible for tracking patient continuity of care and gaps in care closure.
- Calls parents/guardians to discuss follow-up care needs, such as referrals and scheduling.
- Schedules follow-up appointments at all GLBHC dental sites.

Outreach
Attends and participates in meetings and community events to represent and promote Smiles Are Everywhere Mobile Dental Program. Prepares all materials prior to meeting or event participation. Conducts interactive classroom and group oral health presentations focusing on educating students and encouraging program participation.

- Coordinates work efforts with co-workers to maintain efficient patient flow throughout the office.

- Assists with clerical workflow, inside the dental mobile unit, during high-volume times or in the absence of the Dental Clerk/Driver.
- Follows Dental Infection Control Program and other regulatory policies and procedures.

- Works at alternate Dental sites, as requested by the Mobile Dental Manager.

Required job specifications

Education
High School diploma or equivalent required. 2.
Experience
Minimum of two (2) years of previous clerical and/or administrative experience. 3.
License

- Effort: Must be able to do a combination of sitting, standing and walking for an entire workday. Must be able to work within confined spaces subject to swaying and other motions both while in transit and at rest. Must be able to lift, push, and or pull up to twenty-five (25) lbs. on occasion. 6.
- Hours of
- Work: Full-time, flexible and varied. Occasional evening and weekend hours required. Consistent attendance is required. Telecommuting is not available for this position. This position follows the school-year schedule. During off-season periods or times of low program activity, hours may be reduced or temporarily paused. Full or regular hours are anticipated when the school year resumes. 7.
Travel
Extensive travel using, or riding in, a GLBHC vehicle or personal vehicle. Reimbursement for expenses consistent with GLBHC policy. Must have proof of liability and property damage insurance coverage to receive mileage reimbursement.
